Holiday Activities Booking Terms & Conditions

Thank you for booking with Kidz Konnekt.

Our holiday activities provide children and young people with safe, inclusive and enjoyable opportunities to learn new skills, make friends, stay active and have fun. As a registered charity, we aim to keep our activities affordable whilst providing high-quality experiences delivered by trained and experienced staff.

These Terms and Conditions help ensure the smooth running of our holiday programmes and protect the interests of all children, families and the charity.

1. Booking

All bookings must be completed through our approved booking system.

A place is only confirmed once:

  • The booking has been submitted.

  • Any required consent forms have been completed.

  • Payment has been received (unless otherwise agreed).

Places are allocated on a first-come, first-served basis.

2. Payment

Payment is required at the time of booking unless an alternative arrangement has been agreed by Kidz Konnekt.

We accept approved childcare voucher schemes and Tax-Free Childcare where applicable.

Failure to pay before the activity may result in the booking being cancelled.

3. Cancellation and Refund Policy

As a registered charity, we aim to keep our activities affordable for everyone. Staffing, food, venue hire, transport and activity resources are organised in advance based on confirmed bookings. If your plans change, please let us know as early as possible so that we may offer the place to another child.

Parent cancellations

More than 14 days before the activity

  • Full refund

7–14 days before the activity

  • 50% refund

Less than 7 days before the activity

  • No refund.

  • We will try to transfer the booking where possible, although this cannot be guaranteed.

Failure to attend (No Show)

  • No refund.

Illness

If your child cannot attend due to illness, please notify us as soon as possible.

Where practical, we will always try to transfer your booking to another available session.

Refunds due to illness are at the discretion of Kidz Konnekt and may be considered where:

  • medical evidence is provided; or

  • we are able to fill the cancelled place.

Exceptional Circumstances

We understand that unexpected situations occur.

Requests relating to bereavement, family emergencies, hospital admission or other exceptional circumstances will always be considered sympathetically on an individual basis.

If Kidz Konnekt Cancels

If Kidz Konnekt cancels an activity due to unforeseen circumstances, families will be offered either:

  • a full refund; or

  • transfer to another available activity.

4. Arrival and Collection

Children should arrive during the published drop-off period and be collected promptly at the advertised finish time.

Children will only be released to authorised adults named on the registration form unless prior arrangements have been agreed.

Identification may be requested where necessary.

Late collection may result in an additional charge where staff are required to remain beyond advertised operating hours.

Persistent late collection may affect future bookings.

5. Absence

If your child is unable to attend on the day, please notify us as early as possible.

This enables staff to account for all children safely and, where appropriate, offer the place to another family.

6. Medical Information

Parents must provide accurate information regarding:

  • medical conditions

  • allergies

  • dietary requirements

  • medications

  • SEND needs

  • emergency contacts

Failure to provide relevant information may affect our ability to safely support your child.

Medication will only be administered in accordance with our Medication Policy and with appropriate consent.

7. Food

Where meals or snacks are provided:

  • dietary requirements must be declared at the time of booking;

  • all reasonable efforts will be made to cater for allergies and dietary needs.

Parents are responsible for ensuring information provided is accurate and up to date.

8. Behaviour Expectations

We aim to provide a welcoming environment where everyone feels safe and respected.

Children are expected to:

  • treat others with kindness and respect;

  • follow staff instructions;

  • use equipment safely;

  • respect property and facilities.

Where behaviour places themselves or others at risk, parents may be contacted and asked to collect their child.

Repeated serious incidents may result in future bookings being refused.

9. Clothing and Personal Equipment

Children should arrive suitably dressed for the planned activities and weather conditions.

This may include:

  • waterproof clothing

  • suitable footwear

  • sun hat

  • sunscreen

  • refillable drinks bottle

  • spare clothing where advised.

Kidz Konnekt cannot accept responsibility for loss or damage to personal belongings.

We recommend valuables are not brought to activities.

10. Outdoor Activities and Weather

Many of our activities take place outdoors.

Activities will continue in most weather conditions.

If weather conditions make activities unsafe, programmes may be adapted, moved indoors where possible or cancelled.

Changes to activities due to weather do not normally entitle participants to a refund.

11. Photography and Media

Photographs or videos will only be taken and used where parental consent has been provided.

Images may be used to:

  • celebrate achievements;

  • promote Kidz Konnekt’s work;

  • support funding applications;

  • publicise future activities.

Parents may withdraw consent at any time.

12. Safeguarding

The safety and wellbeing of children and young people is our highest priority.

All activities operate in accordance with Kidz Konnekt’s Safeguarding and Child Protection Policy.

All staff and volunteers are appropriately recruited, trained and DBS checked in accordance with safeguarding legislation.

13. Health and Safety

Risk assessments are completed for all activities.

Participants are expected to follow staff instructions and safety guidance at all times.

Certain activities may require additional consent or safety briefings before participation.

14. Data Protection

Personal information is collected solely for the safe administration of activities and in accordance with UK data protection legislation.

Information is held securely and only shared where legally required or necessary to safeguard a child.

15. Changes to Activities

Whilst every effort is made to deliver advertised activities, Kidz Konnekt reserves the right to amend programmes, venues or activity schedules where necessary due to weather, staffing, safety or operational requirements.

Suitable alternative activities will be provided wherever possible.

16. Acceptance

By making a booking, parents or carers confirm that:

  • the information provided is accurate;

  • they accept these Terms and Conditions;

  • they consent to Kidz Konnekt delivering the booked activities in accordance with its policies and procedures;

  • they understand the cancellation and refund policy.
